Job Purpose:

The CIS team focuses on the Trade Life Cycle of Collective Investment orders received from our Global Custody clients and any operational processes related to that TLC (Order Placement and Documentation management, settlement and reconcilement, Asset Servicing and Query Management . The team is committed to provide the most accurate and up-to-date trade order statuses, reconcile cash and stock positions to each of our sub-custodians (Fundsettle and Vestima) or directly to the Transfer Agencies statements on a daily basis and respond to any 03rd party query in relation to the trade orders

Job Background/Context:

The team is responsible for a number of back office functions within the Collective Investment Services across Mutual, Hedge, Money Market funds and some alternative Investments. These functions are completed by the CIS Operations group dealing directly with the Transfer Agencies or through external vendors (Fundsettle and Vestima)

The CIS operations team is based in the Dublin Service Centre as part of the Global Custody Settlements Operations Department which provides securities settlements support for the four Citigroup Global Windows (London, New York, Luxembourg and Jersey). The department also includes Securities Finance functions.

Key Responsibilities:

  • Process all Incoming messages into Order and Trade Manager application (order routing) or NCS application (Asset Servicing processing) within agreed timeframes.
  • Understand the Risks and Controls in the team and maintain a pristine control environment minimizing BSER/NBSER exposure for the team.
  • Align to the Operating Principles and VOE initiatives within the team.
  • Build a good working relationship with other departments and external 03rd parties (Fundsettle and Vestima and Transfer Agencies) and enhance those relationships to improve the service standards, team processes, systems and procedures within the team to improve process efficiency, expansion of the product and reduction of manual intervention.
  • Manage the documentation required for each order to ensure Transfer Agencies deadlines are met.
  • Work on system and process enhancements.
  • Review and update document procedures on a monthly basis.
  • Be fully familiar with the Product service standards and act as guidance point for junior members of the team.
  • Work with the team Leader to organise training within the team to ensure cover and development for the junior members of the team.
  • Understanding of investment fund order placement, settlements and Asset Servicing.
  • Takes responsibility for completing SLA’s, Client Service reviews.
  • Key point of contact across the Product groups and Op’s Seniors.
  • Required to manage work-flows for the team; excels at delegation, multi-tasking, prioritisation and follow through.
  • Will often take responsibility for task including deputising for Team Leader at meetings/ calls.

Knowledge/Experience:

  • Must be able to prioritize and work to very tight deadlines.
  • Collective Investment order placement and Settlements/Asset Services an advantage.
  • Excellent attention to detail.
  • Strong computer and communication skills, both oral and written.
  • Demonstrable confidence in dealing with external parties in a professional environment.
  • Ability to analyze current procedures and strive for process and qualitative improvements.

Qualifications:

  • 3rd level degree on Financial or Business.
  • On the job training and coaching will be provided.
